Duties & Responsibilities:

The Fixed Asset Inventory Assistant will assist in maintaining the University’s fixed asset system across both campuses. These positions are critical to ensuring full institutional compliance with university policies, governing regulations, and mandatory fiscal year-end reporting requirements. This includes but is not limited to:

  • Conduct annual physical inventories of all University assets across both campuses to meet yearly compliance mandates
  • Reconcile physical inventory data with the central fixed asset database
  • Assist departments in submitting required inventory certifications accurately and within fiscal deadlines
  • Create and maintain new asset location codes in the Banner system
  • Assist departments in managing, locating, and certifying their inventory listings
  • Identify, investigate, and resolve discrepancies in asset locations and data records
  • Coordinate logistics for cross-campus asset tracking and verification
  • Monitor department email account for inventory requests and updates
  • Apply physical inventory tags and barcodes to assets when needed

Qualifications:

Minimum Qualifications

  • High School Diploma or GED Equivalent
  • Customer service experience
  • Fixed Asset Experience
  • Excellent verbal and written communication skills
  • Strong organizational skills
  • Strong analytical skills
  • Ability to stand, walk, bend, and reach for the majority of the day
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Bachelor’s degree or Associate’s degree in Business or related fields
  • Banner Ellucian Experience
  • SmartSheet’s Experience
  • Capital Asset Inventory Experience
  • Experience in performing data analysis and reconciliations
