Duties & Responsibilities:

VCU’s Facilities Management Department is seeking to hire a Facilities Relocation Manager for its Space Management unit.

The Relocation Manager plans and oversees relocation projects on both the MCV and MP campuses. This position interacts and communicates consistently with stakeholders in moves:  works with clients being moved beginning to end, collaborates closely with project manager,  inventories existing FFE,  works with clients to plan existing and new FFE, coordinates surplus FFE with Surplus officer and communicates with all what is being moved and what is surplused or trashed, coordinates and schedules moves, coordinates the decommissioning of equipment and hazardous materials, oversees the physical moves on site during moving days, coordinates with the end users and the physical moving crew. The relocation manager also provides move signage, orders and distributes packing materials, communicates and coordinates with all stakeholders, IT support staff, building managers, OEHS, architects and engineers, FMD CM and PD staff and surplus staff. This position ensures the planning and execution of relocations are done seamlessly so that the new space and occupants who have moved are fully functional at the end of the relocation effort.

Responsibilities include (but are not limited to):

Project Management

  • Manages relocation projects so they meet schedule, budget and program expectations. Projects  include all space types: offices, classrooms, labs, etc.
  • Communicates clearly and effectively,  verbally and digitally to all stakeholders, vendors, IT, building managers, OEHS and all parties from planning through completion.
  • Advises vendors, users, resource personnel, and others on the most cost effective, efficient, functional and aesthetically pleasing result.
  • Prepares complete and thorough work plans at the start of each project and tracks progress using work plans as a management tool.
  • Identifies where input is needed from university personnel, actively pursues and integrates feedback in the project.
  • Anticipates questions, problems, and challenges and addresses them before they occur.
  • Works efficiently, doing it “right the first time”.
  • Empowered to exercise independent judgement on move management matters.
  • Provides physical on-site supervision on move days to ensure  the move plan is properly executed and occupants are fully operational once relocation is completed.

Vendor and Contract Management

  • Selects vendors whose skills are in alignment with User needs.
  • Develops proposals and agreements such as change orders, invoices, requisitions with outside consultants and vendors.
  • Works with project manager to ensure all documents are submitted in correct protocols
  • Ensures that agreements reflect Client -User needs and project parameters.
  • Manages vendor procurement process within university standards and policies.
  • Expectations are clear, well communicated, and relate to the goals and objectives of the department and the project.
  • Pay requests are acted upon promptly.
  • Performance issues are addressed and documented as they occur.
  • Evaluates the work of vendors and enforces compliance with state codes and standards and university policies and procedures.

Quality Control

  • Ensures space spaces meet criteria for move, including existing and new FFE and surplus process as well as all components of the space-AV, IT, etc.
  • Oversees that move vendors and installations follow the design documents and plans.
  • Evaluates and reviews the vendor move and FFE plans.
  • Collaborate, coordinate and communicate with all parties for smooth progress from planning through completion.

Qualifications:

Minimum Qualifications

  • Bachelor’s degree in facilities management, construction management, project management, business administration, or a related field; combination of education and experience will be considered
  • Several years experience coordinating relocations, facilities operations, logistics, or project support in a complex organization
  • Demonstrated ability to plan and execute multi‑phase moves, including FF&E inventory, surplus coordination, and operational readiness
  • Experience working with diverse stakeholders, such as project managers, IT, OEHS, building managers, architects/engineers, and end users
  • Strong organizational and communication skills, with the ability to manage multiple concurrent tasks and deadlines
  • Ability to interpret and follow safety protocols, including those related to equipment decommissioning and hazardous materials coordination
  • Proficiency with standard office software (e.g., MS Office) and the ability to learn facilities‑related systems (e.g., AiM, space management tools)
  • Ability to perform on‑site oversight during move activities, including walking buildings, monitoring crews, and resolving issues in real time
  • Valid State of Virginia Driver's License
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU

Preferred Qualifications

  • 10 years experience in the move management field, preferably in higher education

Salary Range: $50,000 - $60,000
