VCUarts Music and Performing Arts - Office Assistant

The School of the Arts invites applications for the position of Office Assistant that supports the Department of Music and the Department of Theatre and Dance, in the Performing Arts Group.

The Office Assistant performs a range of basic office support activities for the Departments, such as answering phones and directing calls, greeting and directing visitors, answering questions and performing routine administrative work as assigned.

Primary Duties and Responsibilities:

  • Represents the Department of Music and the Department of Theatre and Dance in the most positive manner with prospective and current, students, alumni, donors, faculty, staff, and all other members of the VCUarts community.

  • Coordinates internal communications, answers telephones, routes calls, takes messages, and provides general information; greets and directs visitors; answers routine inquiries; maintains log of inquiries as required.

  • Opens and routes incoming mail; distributes correspondence and other material to department staff/faculty.

  • Establishes, maintains, processes, and/or updates files, records, and/or other documents.

  • Performs specialized services of a routine clerical/administrative nature in strict accordance with established procedural guidelines, as appropriate to the position.

  • Schedules or assists in scheduling appointments, meetings, and/or student-related events, as appropriate to the position.

  • In concert with the Music Chair and the Admissions Coordinators, facilitates and attends Audition Days for the Department of Music and communicates with prospective students on audition-related questions as well as ensuring appropriate recruitment and admissions materials are available.

  • Assists with event preparation for the Department of Music and provides general administrative support for the Chair of the Department of Music.

  • Maintains and orders office supplies and monitors the overall appearance of the office space and facilities.

 

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education, experience, and training

  • Experience in a fast-paced office environment

  • Proficiency in Microsoft Office Suite and Google Suite

  • Excellent time management and organizational skills

  • Excellent written and verbal communication skills

  • Ability to multitask and prioritize effectively

  • High level of attention to detail and accuracy

  • Positive attitude and professional demeanor

  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU

  • Documented Musical experience or background

 

Preferred Qualifications:

  • Two or more years of experience in a similar role

Salary Range: $20-$23 per hour
