Administrative Production Coordinator
VCU School of the Arts

Department of Music

The Administrative Production Coordinator oversees performance and programming logistics for the Department of Music by serving as the main point of contact and liaison between all areas to coordinate concert performances, youth events, professional development workshops, community programs, alumni events, marketing, ticketing, contracting, and problem-solving related to any aspect of events or program production.

Key Responsibilities:

  • Builds relationships and collaborates with key faculty and staff in the Department of Music and in the School of the Arts to facilitate the successful completion of assigned duties. In addition to department faculty and academic area heads, the Administrative Program Coordinator will regularly liaise with members of the School’s HR team, Finance team, the Performing Arts Admissions and Administrative Coordinator, communications staff, facilities/building staff, the Box Office Manager, and the Music Office Assistant. Establishing and maintaining effective working relationships with colleagues will be essential to the successful performance of the Administrative Production Coordinator.

  • Oversee performance and event logistics for the Department of Music

  • Serve as the main point of contact and liaison between all department academic and administrative areas to coordinate concert performances, youth events, professional development workshops, community programs, alumni events, recruiting and audition events and other programming as requested by the Chair  

  • Coordinate the department’s marketing, ticketing, website updates, scheduling, and contracting as relates to concerts, events and special programs

  • Resolve technical and logistical production issues

  • Meet with each area to review programming and event plans to make sure proposed design is within budget and labor scope of what the departmental resources

  • In collaboration with members of the School’s Finance team, oversee the production budgets for each area:  including artist management, marketing, printing- including posters and playbills

  • In collaboration with the School’s HR team and the Chair, oversee all production assignments, and determine if there is a need to hire temporary/part-time personnel. Assist in identifying and selecting additional personnel/crew members. Assist with timely contracts and payments to personnel.

  • Assist the Chair as needed to ensure smooth running of all productions, programming and events within the Department of Music. 

Qualifications:

     Requirements: 

  • Bachelor's degree required (preferably in music, administration, or educational leadership)

  • Prior musical experience required (preferably leading or participating in large or small music ensembles)

  • Strong communication and organizational skills required, including proficiency in building, formatting, and maintaining spreadsheets in Microsoft Excel and experience drafting, editing, and formatting internal memos, reports, or communications using Microsoft word or other office software.

  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various background checks and experiences, or a commitment to do so as a staff member at VCU. 

Salary Range: $23- $26/hour
