Role Purpose and Scope
The Talent Strategy Coordinator will support the Executive Search Team (EST) and its portfolio of senior and executive‑level faculty and staff searches. Working closely with the Director, Talent Strategy and Vice Provost, Faculty Recruitment, the Coordinator provides essential operational, administrative, and coordination support, including assisting with the full life cycle of sourcing and selecting candidates for current and future roles.
The EST is an internal team of recruitment professionals dedicated to finding and engaging exceptional senior and executive‑level talent. Grounded in a deep understanding of VCU’s culture and priorities, the team collaborates closely with campus partners to provide focused, high‑quality search support. Each search is approached with care, partnership, and a tailored strategy that reflects the needs of the role and the institution.
This role serves as a key administrative partner, delivering a seamless, high‑touch candidate experience while coordinating complex interviews, campus visits, and travel logistics. Working across multiple concurrent senior and executive searches, the Coordinator provides end‑to‑end operational support that brings all aspects of the search process together and ensures an exceptional experience for candidates and campus stakeholders.

Key responsibilities of this position include:
Interview, Visit & Meeting Coordination
Coordinate interviews and campus visits, including complex schedules, stakeholder meetings, and logistics.
Schedule search committee meetings and support related logistics.
Develop detailed candidate itineraries while partnering with HRP/HRAs to secure interview schedules and ensure alignment across stakeholder calendars.
Candidate Travel & Hospitality
Arrange candidate travel including accommodations, transportation, hospitality, and reimbursement coordination.
Ensure timely communication regarding travel expectations, reimbursement guidelines, and related policies.
Search Operations & Candidate Experience
Manage search timelines and key deliverables for faculty and staff searches.
Source candidates through job boards, resume databases, and other online platforms to build broad talent pipelines.
Conduct candidate research and outreach to strengthen pipelines for current and future vacancies.
Screen resumes and recommend qualified candidates for senior and executive‑level searches.
Create accurate screening matrices and evaluation tools.
Conduct candidate phone screens while maintaining strict confidentiality.
Deliver a high‑touch candidate experience that reflects VCU’s professionalism and culture.
Communication, Documentation & Reporting
Support communication workflows including committee materials, candidate correspondence, campus visit coordination, and internal updates.
Prepare reports and documentation that support leadership decision making throughout the search cycle.
Maintain applicant tracking and communication with past applicants.
Support special projects and departmental initiatives as assigned.
Minimum Qualifications
Bachelor's degree in a related field, or equivalent relevant experience.
Experience supporting talent acquisition or recruitment coordination activities, or working in a related professional services setting.
Ability to plan and coordinate meetings, interviews, campus visits, and candidate‑focused events with strong attention to detail.
Proven ability to manage multiple projects and timelines while maintaining accuracy, organization, and follow‑through.
Strong written and verbal communication skills, including proofreading and preparing polished, client‑facing materials.
Demonstrated professionalism and judgment in handling confidential information.
Collaborative team approach with the ability to work independently and deliver high‑quality, service‑focused results.
Proficiency in Google Docs and Microsoft Office, with the ability to produce presentations and reports.
Ability to thrive in a fast‑paced, deadline‑driven environment.
Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications
Two or more years of experience in executive search or talent acquisition, including operations or program coordination.
Experience with applicant tracking systems.
Relevant HR or executive search certifications (e.g., PHR, SHRM‑CP, AESC, AIRS).
Salary Range: $45,000 - $60,000
