Department Summary: Virginia Commonwealth University offers one of the premier Doctor of Physical Therapy Programs in the country. Located in the newly furnished College of Health Professions building, the program provides students with easy access to state-of-the-art clinical and research facilities.

Duties & Responsibilities:

The Program Manager will play a key role in the day to day operations of the department by performing high-level administrative support of a variety of programs within the department that includes the Doctor of Physical Therapy (DPT) program, Ph.D. in Rehabilitation and Movement Sciences (REMS) program; as well as three PT Residency programs.  The position also administratively supports the department's Research portfolio. 

This position will provide independent solution-oriented support while working as a member of the department team and liaison to other departments in the College and the Dean’s Office.  Work will be completed under limited supervision ensuring complex matters are handled in a timely and efficient manner and referring to department leadership as needed. 

Position Responsibilities include (not limited to) the following:

  • Provide operational and administrative support for the Doctor of Physical Therapy (DPT) program.

  • Supporting the admissions process to the DPT program by assisting the Director of Admissions in recruitment activities such as communications and traveling/participating in recruitment events, serve as the primary point of contact for prospective students, managing databases used during the application process, coordinating the review of applications by the DPT program admissions committee.

  • Assist the department with administrative activities including:  attending the department retreat and creating action reports, downloading and analyzing data reports for faculty utilization in support of accreditation.

  • Compiles data for strategic plan and departmental goals.

  • Ensures departmental facilities and building management concerns are addressed. 

  • Manages departmental newsletter and other communications like social media channels. 

  • Schedules, creates agendas, and coordinates locations for departmental meetings. 

  • Responsible for the planning of departmental events, internal & external, in coordination with space assignments, generating invitation lists, invitations, communications, managing RSVPs, producing programs, catering, and providing support on the day of the event. 

  • Manage and oversee the purchasing of all event coordination needs and departmental research related needs. Managing faculty & student travel with conference registrations, travel pre-approvals, reimbursements and transportation needs in accordance to university policies. Also responsible for depositing departmental check deposits. Work closely with the fiscal administrator to track departmental spending and research discrepancies.

  • Identify process inefficiencies and implement improved workflows; serve as a point of contact for faculty and leadership when addressing operational challenges.

  • Departmental liaison for internal to CHP & external stakeholders.  Attend and participate in regular meetings with the finance team and CHP’s admin group.

Qualifications:

Minimum Qualifications

  • Bachelor's degree or equivalent combination of experience and education.
  • 2+ years of relevant work experience.
  • Demonstrated excellence in professional written and verbal communication.
  • Proficiency in Google Suite, Microsoft Office, Adobe Pro, and social media communications.
  • Proven ability to prioritize work, handle multiple tasks, and meet deadlines.
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Previous experience in higher education student administration and program planning.
  • Experience in Smartsheets.
  • Experience in fiscal administration/management.
  • Experience in event planning.

Salary Range: $55,000+ (Commensurate with experience)
