Duties & Responsibilities:
This position is responsible for managing VCU’s leave programs and processes, such as short-term disability, FMLA, parental leave, military leave, leave share, leave audits and adjustments, etc. in support of VCU employees. This includes creating, maintaining and tracking all leave records for leave programs to ensure compliance with policy and required ARMICS testing.
This position serves a vital role and is designed to provide deep subject matter expertise for HR contacts in schools/divisions by providing accurate information and excellent customer service with disability, and other benefits, including leave and timekeeping related requests. This includes directing HR staff and employees to benefits and leave resources such as plan provisions and programs, eligibility requirements, benefits enrollments, mid-year qualifying events, job status changes, service date and leave adjustments, etc. This position is also responsible for supervising two Leave Administration Analysts, which includes providing annual performance and career development guidance and regular feedback with a focus on mentoring and developing entry-level professionals.
Responsibilities include, but are not limited to:
Supervising two Leave Administration Analysts, which includes assigning and overseeing all tasks/projects, training on all standard operating procedures, and serving as the point of contact for all questions and concerns
Directing daily operations to meet semi-monthly payroll deadlines and overseeing annual strategic leave initiatives to support central HR
Interpreting and implementing VCU’s leave policies and procedures
Collaborate with central HR teams on process‑improvement projects by leading project planning, prioritization, and execution. Provide strategic direction for automation development, ensuring solutions align with organizational goals, streamline workflows, and support consistent, compliant HR operations.
Overseeing all payroll tasks for employees on various leave programs (STD, FMLA, parental, caregiver, leave share, etc.) while meeting required payroll deadlines on time, in addition to completing all other duties and projects assigned
Managing LTD administration and consultations to ensure staff and departments have smooth transitions between STD and LTD
Interpreting federal and state laws in regards to absence management to ensure VCU policies remain in compliance with federal and state laws, and draft and/or update related policies and practices, as necessary
Updating policies, guidelines, reports and procedures designed to ensure timely handling, tracking and compliance of all intermittent and consecutive leave of absence and temporary reasonable accommodation requests
Performing quality control checks for leave related data each pay period and analyze cyclical trends
Liaising with university partner offices (HRIS, Benefit, Payroll, HR Professionals, Employee Relations, etc.) to resolve all leave-related employee matters, and escalating concerns to upper management when required
Facilitating the delivery of VCU Leave & Timekeeping Training to new timekeepers and HR Associates on a monthly basis, and when requested, or assign this task to a staff member
Professionally deliver the Leave portion of the Benefits & Leave Overview and for VCU’s new hires 2 to 3 times per month, or assign this task to a staff member
Developing deep subject matter expertise in the areas of benefits and leave administration to ensure continuous process improvement of programs, standard operating procedures, and benefits and leave resources
Partnering with HRIS as needed to improve leave administration and audit Banner actions to ensure all functions are operating effectively
Resolving employee issues with leave related matters independently, as appropriate and in collaboration with team members, as complex claim issues arise
Maintaining reasonable communication with employees, managers, HR staff during an employee's leave of absence to facilitate smooth and timely return to work, relaying communication between employees and their departments during leave, within reason
Providing 1:1 consultations with departments and employees on complicated or high level staff and faculty leave cases to ensure all parties have a deep understanding of employee’s leave options and actions required
Preserving confidentiality of employee medical documentation and files to ensure VCU is in compliance with state and federal regulations
Minimum Qualifications
Outstanding customer service skills, a high degree of professionalism, excellent attention to detail in a fast paced environment, ability to meet required payroll deadlines, a reliable attendance record, and the ability to balance multiple priorities while meeting all other deadlines
Ability to understand and apply policies and procedures for all areas of responsibility and solve problems independently using available resources
Strong organizational skills are essential for meeting deadlines, and include excellent time management, decision-making, goal setting, delegation, strategic thinking, attention to detail, self-motivation, and prioritization of tasks/projects for the department
Excellent oral and written communication skills in standard business English and the ability to handle confidential/sensitive information appropriately and discreetly
Strong working knowledge of Microsoft Office Suite (including Excel, Word, PowerPoint), Google suite
Excellent mathematical and analytical skills and aptitude are necessary to perform accurate leave and pay calculations
Preferred Qualifications
Graduation from an accredited college or university with a bachelor’s degree in human resources, business administration or related field preferred, or equivalent applicable training and experience
Working knowledge or proficiency in Banner, RealTime, Cardinal, DocuSign, Cherwell ticketing system, or experience with another HRIS system
SHRM-CP Human Resources certification or equivalent Human Resources certification
Salary Range: $60,000 - $75,000
