Department: Office of the Univ Registrar

Department Summary: VCU’s Office of the University Registrar(OUR) is searching for a Degree Planner Analyst. Reporting to the Assistant Registrar for Degree Audit in the Office of the University Registrar, the analyst maintains the degree planning system for VCU, which maps degree requirements and creates personalized, optimized academic plans for students and advisors. The role combines technical systems analysis with an understanding of academic advising and student success.

Core Responsibilities: 

Manage the day-to-day operations of the Ellucian Smart Plan module (55%)

  • This involves configuring and updating the Ellucian Smart Plan module to reflect institutional rules for course sequencing, program requirements, and academic policies.
  • Work with other campus systems, particularly the Banner student information system, to ensure seamless data flow and up-to-date information for students and advisors.
  • Collaborate with academic advisors, registrar staff, and faculty to analyze current advising practices and recommend improvements using the Smart Plan system.
  • Participate in system upgrades, testing, and implementation of new features, ensuring minimal disruption to advising services.
  • Create and maintain internal and institutional forms and spreadsheets (with associated security) through Google Drive System. 

Reporting and Analytics (25%)

  • Assist with the creation and distribution of reports and dashboards to track student progress, monitor trends in degree completion, and support data-driven decision-making for enrollment and retention strategies.

Training Material and Procedural Documentation (10%)

  • Develop training materials for staff to ensure they can effectively use the Smart Plan tools. Create and maintain system documentation.
  • Provide individual or group training to any institutional users for Smart Plan application and its supporting processes as needed. Assist with other duties as assigned (10%)
  • Assist with degree audit and OUR projects.

Other Position Details 

  • This position is eligible for a hybrid work schedule where on campus work is a requirement.

Qualifications:

Minimum Qualifications

  • Bachelor’s degree in management, information systems, mathematics, statistics or related field or equivalent experience or training
  • Strong analytical and rational deduction abilities. 
  • Ability to attend to details with minimal errors and supervision. 
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience with a student information system and/or degree audit product, e.g., Banner, CAPP, Degree Works. 
  • Experience with SQL, SAS, or other programming languages.

Salary Range: Up to $45,000
