Reporting to the inaugural Director of the VCU Academic Internships Office in VCU’s University College, the CRM & Internship Assessment Specialist will lead the development and continuous improvement of systems that track, assess, and strengthen academic internship experiences. This role is responsible for building and managing internship-related databases and tracking systems, monitoring placement documentation and outcomes, and supporting assessment efforts that inform strategic decision-making and program improvement. 

The position combines data management, reporting, assessment coordination, and systems development to support the Academic Internships Office in scaling high-quality, credit-bearing internship experiences across undergraduate programs.

Typical Responsibilities:

Data Systems & CRM Management

  • Develop and maintain databases and tracking systems that support employer partnerships, student placements, internship participation, and related office operations.
  • Manage CRM processes that track student progression, employer engagement, internship approvals, and placement outcomes.
  • Establish protocols for accurate data entry, maintenance, and reporting across office functions.
  • Support integration and organization of internship-related records, documentation, and workflows.

Data Analysis, Reporting & Dashboards

  • Analyze internship participation data, placement trends, and program outcomes to support office planning and decision-making.
  • Create interactive dashboards, reports, and visual summaries for leadership, staff, and campus stakeholders.
  • Produce regular reports related to internship participation, employer engagement, and student outcomes.
  • Identify trends, gaps, and opportunities that support strategic growth and continuous improvement.

Assessment & Evaluation

  • Develop and manage assessment tools related to academic internships, including student surveys, employer/partner evaluations, and other feedback instruments.
  • Coordinate assessments of internship quality and support the collection of feedback from students, employers, and academic units.
  • Assist in interpreting assessment findings and recommending improvements to office practices, partnership models, and student support systems.
  • Support annual reporting and evaluation efforts related to internship effectiveness and impact.

Documentation & Continuous Improvement

  • Monitor placement documentation, approvals, and completion records to ensure consistency and accuracy.
  • Support quality assurance efforts by tracking required internship documentation and assessment timelines.
  • Collaborate with office staff to improve systems, processes, and reporting practices that strengthen office operations.

Project Management

  • Plan and develop project scope.
  • Coordinate all activities for the academic internship data collection initiatives to ensure objectives are accomplished within prescribed grant funding parameters.
  • Monitor project progress and set deadlines.
  • Communicate regularly and keep the team up-to-date on project progress, and report any delays in a timely fashion

Other Duties: Performs other relevant duties as assigned.

Minimum Qualifications:

  • Bachelor’s degree from an accredited institution in Data Analytics, Information Systems, Business Administration, Social Sciences, Higher Education Administration, or a related field; or an equivalent combination of education, training, and experience.
  • Minimum of 2–3 years of professional experience managing data systems, databases, or Customer Relationship Management (CRM) platforms (e.g., Salesforce, TargetX, Slate, or similar).
  • Strong organizational skills with attention to detail for financial documentation and reporting
  • Demonstrated experience collecting, cleaning, analyzing, and reporting on complex data sets. 
  • Experience developing, distributing, and analyzing basic assessment tools, such as surveys, feedback forms, or evaluations. 
  • Proficiency in MS Office (Word, Excel, PowerPoint) and Google Suite)
  • Excellent written and verbal communication skills, with the demonstrated ability to translate technical data trends into clear, actionable summaries or presentations for non-technical stakeholders. 
  • Ability to manage multiple priorities and meet deadlines
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU

Preferred Qualifications:

  • Experience with grant reporting, fiscal management, and/or data collection and reporting; Smartsheets experience preferred
  • Knowledge of the VCU’s strategic plan, mission, vision, values, and administrative practices
  • Familiarity with VCU systems such as Banner, Navigate, RealTime, etc.

Salary Range: Up to $70,000
