Duties & Responsibilities:
The CRTEC Data and Administrative Coordinator is responsible for managing, tracking, validating, and reporting student and trainee data to support CRTEC programs and CCSG reporting requirements. Approximately 70% of the role focuses on data collection, long-term trainee tracking, data quality, reporting, and database management, ensuring accurate and reliable information for decision-making, outcome support, and grant reporting.
The remaining 30% of the role provides administrative and operational support for CRTEC training programs, including meeting and event coordination, trainee support, travel and financial processing assistance, communications, and other program-related activities. This position works closely with CRTEC leadership, faculty, trainees, and institutional partners to support both data-driven program decisions and successful program operations.
Key Responsibilities
Student and Trainee Data Management and Long-term Follow-up (40%)
Track student and trainee participation, program involvement, outcomes, and long-term career progression, including follow-up for up to 15 years after program participation.
Track long-term outcomes, including education, employment, career advancement, publications, grants, research involvement, and other professional achievements.
Enter, update, and maintain accurate records for all students and trainees in designated CRTEC data systems.
Ensure all new student and trainee records are entered in a timely and consistent manner.
Perform routine data cleaning, validation, and quality assurance to maintain accuracy, completeness, and consistency.
Identify missing, incomplete, or inconsistent data and work with appropriate team members to resolve discrepancies.
Systems and Database Utilization (15%)
Use and maintain multiple data systems, including REDCap, Flight Tracker, NIH Reporter, PubMed, Massey’s homegrown tracking systems, and other approved platforms.
Access public databases, institutional libraries, and research tools to update and verify existing trainee records.
Assist with the development, testing, enhancement, and maintenance of the CRTEC homegrown database.
Support system improvements by identifying data gaps, workflow issues, and opportunities to improve tracking and reporting efficiency.
Reporting, Data Quality and Process Improvement (15%)
Support the development and documentation of standard operating procedures (SOPs) for data collection, data entry, follow-up tracking, quality assurance, and reporting.
Help establish consistent best practices for maintaining student and trainee records across CRTEC programs.
Assist with training or guidance for staff who enter, review, or use CRTEC-related data.
Collaborate with CRTEC leadership, program staff, faculty mentors, trainees, data analytics teams, and other stakeholders to support accurate and timely reporting.
Assist in preparing reports, data summaries, and ad hoc analyses to support program evaluation, institutional reporting, grant reporting, CCSG submissions, and leadership decision-making.
Communicate data issues, trends, and follow-up needs clearly to the appropriate team members.
Monitor data quality on an ongoing basis and recommend improvements to strengthen accuracy, completeness, and usability.
Administrative Support and Program Operations (30%)
Provide ongoing administrative and programmatic support for CRTEC training programs, including calendar management, meeting coordination, travel arrangements, financial processing support, event logistics, trainee support, and other administrative operations necessary for successful program implementation.
The position requires working mostly in person during the first three to six months of hire. After that, employees may be eligible for a hybrid schedule of 2–3 days per week in the office, depending on performance and business needs. During the summer, the role is expected to be fully in person (late May to end of July).
Qualifications:
Minimum Qualifications
Education: Bachelor’s degree from an accredited four year university or equivalent combination of education, experience, and training.
2 plus years of experience with Microsoft Excel, including tables, formulas, summaries, and basic data analysis.
2 years of experience managing, cleaning, and maintaining large datasets accurately.
Strong attention to detail, with the ability to identify missing or inconsistent information.
1 + years of experience coordinating multiple projects, meetings, events, or administrative processes while managing competing priorities.
Ability to work collaboratively with multiple offices, departments, faculty, trainees, and stakeholders or equivalent.
Strong organizational skills, including the ability to manage deadlines, follow-ups, and data requests.
Effective written and verbal communication skills.
Ability to handle student, trainee, and program data with confidentiality and professionalism.
Comfortable learning and using multiple databases, systems, and online research tools.
Ability to follow documented procedures and support consistent data entry and reporting practices.
Preferred Qualifications
Experience with REDCap, NIH Reporter, PubMed, Flight Tracker, or similar tracking systems.
Experience supporting program outcomes/evaluation, grant reporting, academic reporting, or long-term outcome tracking.
Experience supporting academic programs, professional development programs, training programs, or administrative operations in a higher education, healthcare, or research environment.
Experience at an NCI-designated cancer center or academic setting.
Familiarity with student, trainee, research, education, or workforce development data.
Experience creating or supporting SOPs related to data management or reporting.
