Department: University Academic Advising

Position Summary: Student Success’ University Academic Advising (UAA) team empowers students to achieve their academic goals by providing academic advising and first year success course instruction to students. Each advisor is assigned a caseload of students that they are required to meet with at least once per semester. As a whole, VCU’s academic advisors support 22,000 undergraduate students in 21 distinct advising units. The Student Success UAA unit has the following academic advising teams: Arts, Humanities, and Social Sciences, Pre-health and Sciences, Business, Engineering, and Social Work, and Undeclared. Student Success’ UAA unit is searching for up to 2 advisors that will join either one of these teams or serve as a floater to move between these teams.

Duties & Responsibilities:

Academic Advising (60%):

  • Meet with an assigned caseload of students each semester to provide high-quality, informed guidance and support regarding their academic success. 
  • Monitor caseload and proactively support students in response to predictive analytics, early alerts, midterm grades, and other factors that may affect retention and timely graduation. 
  • Refer students to available resources to ensure they demonstrate behaviors that lead to success in their area of study, creating the foundation for success throughout their University academic experience. 
  • Establish a warm and welcoming relationship with students. Send weekly outreach emails to caseload as drafted in the communication plan. 
  • Help students set academic, career and personal goals through the use and review of tools such as the Intake Survey, Major Maps, and/or Degree Works. 
  • Participate in recruitment activities, programs, and initiatives, including providing advising information to prospective students and/or parents at various meetings such as Orientation.

Teaching (15%): Advisors may be called upon to plan and instruct assigned UNIV 101, 103, and/or 191 Student Success courses to provide effective and informative best practices, resources, and tools available to assist and support students’ academic success throughout their college careers. Introduce new students to the traditions, purposes, and expectations of a university education.

Tasks:

  • Submit course syllabi and weekly course schedule and activate Canvas page by established UAA deadlines.
  • Submit progress reports, midterm grades, and final grades by provided deadlines.
  • Facilitate meaningful, engaging instruction as reflected in course evaluations.

Administrative Work (10%):

Prepare for advising appointments, maintain accurate records of advising interactions, and complete various tasks for Student Success initiatives and students’ needs.

Tasks:

  • Maintain accurate records of student advising interactions by completing Advising Reports and documenting email interactions in Navigate.
  • Use Navigate appointment campaigns to make proactive outreach to prioritized student populations at appropriate times within the semester.
  • Identify and assist struggling or at-risk students by making appropriate referrals to other university resources.
  • Send scheduled emails to caseload from established UAA Communication Plan.
  • Write letters of recommendation and letters of support for student appeals. 
  • Recommend and submit course substitutions and waivers per departmental protocols
  • Support the processing of graduation applications and degree conferral.

Recruitment, Orientation, and Collaboration (10%): Collaborate and participate in various activities with department, unit, and university partners to enhance UAA’s approach and impact on student recruitment, orientation, and success in order to meet the goals of the University.

Tasks:

  • Participate in Orientation.
  • Participate in programming for your advising team

Other Position Details:

  • This is a restricted position and continued employment is dependent upon continued funding, no challenges with future funding are anticipated.
  • We may hire up to 2 positions from this pool.
  • Hybrid work arrangement where being on campus at least 4 days a week is required.

Qualifications:

Minimum Qualifications

  • A minimum of one year of professional experience in a college or university setting. Experience as a Graduate Assistant will be considered as well.
  • Master’s degree from an accredited institution. 
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Master’s degree in discipline of interest.
  • Demonstrated experience providing academic, career, or individualized counseling in a social services or K-20 education setting.
  • Demonstrated experience teaching.

Salary Range: $51,120
